LUX Homes is currently hiring a Jr. Bookkeeper/Administrative Assistant to join us. This is a great fit for someone who is comfortable with handling daily accounting functions and reviewing financial reports on a regular basis.

Job Specific Responsibilities

Accounting  

  • Maintain Company database in CoConstruct 
  • Assist bookkeeper with year-end preparation for accountant  
  • Pull QBO reports weekly/monthly for President –
  • Accounts Receivables: Maintain all customer accounts to remain current in all companies
  • Scanning, sorting, and organization of vendor bills
  • Banking: responsible for all banking deposits
  • Apply and maintain supplier credit accounts
  • Post transactions in QBO
  • WIPAA/ other industry-specific templates
  • Process all payables and payments
    • Print vendor bills, then match them with PO or code to relevant office supplies
    • Ensure Project Managers are aware of the invoice if PO hasn’t been issued
    • Scan and rename documents for QuickBooks and Project Files
    • Post bills and expenses in QuickBooks and/or CoConstruct 
  • Working with the bookkeeper to analyze current loans, assets, and project budgets – 

General Administration 

  • Client Orientation presentation/training
  • Creating project closeout packages for clients
  • Answer phones, record messages, and respond to inquiries when appropriate 
  • Respond directly to or forward to relevant staff all e-mail inquiries 
  • Manage administrative details 
  • Function as personal assistant to Company President, including managing the corporate calendar, scheduling meetings, and boardroom bookings, preparing travel arrangements, drafting letters and memos, developing presentation content, and e-mail monitoring 
  • Create and vet office system standards and procedures, maintain all recordkeeping systems, files and filing systems 
  • Operate the corporate database including data input, running general reports, and maintaining data quality with regular backups and restores 
  • Type, photocopy, and file all general correspondence, forms and memos 
  • Screen, record and track incoming job leads via phone, e-mail and walk-ins
  • Order office supplies and maintain inventory 
  • Purchase office supplies, postage, and groceries
  • Organize and tidy office daily
  • Run errands – Pick up materials when needed in personal or company vehicle 
  • Operate the corporate database including data-input, running general reports, and maintaining data quality with regular backups and restores 
  • Receive and sort mail; sign for deliveries 
  • Selling left over materials, tools, and trucks online 
  • Other administrative responsibilities as required
